Post-Purchase Edit Pass - Terms, Conditions and Revision Policy
These Terms, Conditions and Revision Policy govern the optional Post-Purchase Edit Pass offered by Propify in connection with eligible digital products.
By selecting and purchasing the Post-Purchase Edit Pass during checkout, the customer confirms that they have read, understood and agreed to these Terms and Conditions.
The Post-Purchase Edit Pass provides limited access to post-delivery revisions for eligible personal details that were originally available for the customer to enter, select or customise when placing the relevant order. It does not provide unrestricted editing rights and does not permit changes to customer-supplied images, photographs or other non-editable components of a digital product.
1. Definitions
For the purposes of this policy:
“Customer” means the individual or entity that purchased the relevant digital product and Post-Purchase Edit Pass.
“Customer Image” means any photograph, portrait, headshot, image, graphic, scan or other visual material supplied, selected or uploaded by the customer.
“Digital Product” means an electronically delivered product created or supplied by Propify.
“Eligible Editable Detail” means a personal detail, text field, colour selection or other customisable element that the customer was originally permitted to enter or select when placing the order.
“Edit Pass” means the optional Post-Purchase Edit Pass governed by this policy.
“Protected Digital Order” means the specific order containing eligible Digital Products for which the Edit Pass was selected and paid for during checkout.
“Revision” means a completed round of eligible changes requested by the customer and processed by Propify after the original Digital Product has been delivered.
“Revision Request” means a written request submitted to Propify asking for one or more eligible details to be amended.
2. Nature and Scope of the Edit Pass
The Edit Pass is an optional post-purchase revision service that allows the customer to request up to three support-assisted Revision Requests for Eligible Editable Details contained within a Protected Digital Order.
The Edit Pass applies only to information that:
- the customer was originally permitted to enter, provide or select when placing the order;
- remains technically editable within the relevant Digital Product;
- can be amended without changing the fundamental product, template, structure or design;
- does not involve a Customer Image;
- complies with these Terms and Conditions; and
- is approved by Propify following assessment of the request.
The Edit Pass does not provide access to the source file, template, design software, editable working file or internal production materials used by Propify.
All revisions must be requested through Propify’s customer support service. Customers are not provided with direct editing access to the Digital Product.
3. Eligibility Requirements
The Edit Pass will apply only where all of the following requirements have been satisfied:
- The Edit Pass was selected and paid for when the Protected Digital Order was placed.
- The relevant Digital Product was eligible for the Edit Pass at checkout.
- The requested change relates to an Eligible Editable Detail.
- The requested detail was originally available for customer entry, selection or customisation.
- The requested change does not involve a Customer Image.
- The requested change does not require the creation of a new product or substantially different design.
- The customer has not exhausted the three permitted Revision Requests.
- The Revision Request is submitted within the applicable request period.
- The customer provides all information reasonably required by Propify.
- The requested change complies with applicable laws, these Terms and Conditions and Propify’s other policies.
The Edit Pass applies only to the specific Protected Digital Order for which it was purchased.
It cannot be transferred, assigned, resold or applied to another order, customer, recipient, Digital Product or purchase.
4. Eligible Editable Details
Subject to the specific Digital Product and the options originally made available during checkout, Eligible Editable Details may include:
- first names;
- middle names;
- surnames;
- dates;
- addresses;
- telephone numbers;
- email addresses;
- identification or reference numbers;
- customer-supplied wording;
- spelling;
- punctuation;
- capitalisation;
- selected categories or classifications;
- measurements;
- numerical details;
- other personal information originally entered into an editable field; and
- other customer-selected details expressly approved by Propify.
A detail is not automatically eligible merely because it appears as text or information within the Digital Product. The detail must have been an element that the customer could originally enter, select or customise when placing the order.
Where the requested detail was not presented as an editable or customisable option during the original ordering process, it will not ordinarily be eligible under the Edit Pass.
5. Originally Editable Components Only
The Edit Pass applies exclusively to components that were originally intended to accept customer-provided or customer-selected information.
It does not allow the customer to modify fixed, standardised or non-customisable elements of a Digital Product.
The following components are not eligible unless they were expressly presented as customer-editable options at the time of purchase:
- fixed template wording;
- standard headings;
- labels;
- disclaimers;
- background elements;
- graphic elements;
- logos;
- emblems;
- seals;
- symbols;
- icons;
- borders;
- patterns;
- textures;
- security-style elements;
- decorative components;
- dimensions;
- orientation;
- layout;
- spacing;
- typography;
- font families;
- product format;
- file format;
- resolution;
- template structure;
- jurisdiction-specific features;
- standard product information; or
- any other component controlled exclusively by Propify.
The Edit Pass does not permit the customer to convert one Digital Product into another product, template, version, category or design.
6. Absolute Exclusion of Customer Images
Customer Images are not eligible for editing, alteration, substitution or replacement under the Edit Pass under any circumstances.
This exclusion applies regardless of:
- whether the image was supplied during the original order;
- whether the customer wishes to provide a different image;
- whether the replacement image depicts the same person;
- whether the requested change appears minor;
- whether the original image contains an error;
- whether the customer has unused Revision Requests remaining;
- whether the requested image change is technically possible; or
- the reason provided for requesting the image change.
The Edit Pass does not include:
- replacing a Customer Image;
- substituting one person’s image for another;
- changing the identity of the person shown;
- face replacement;
- face swapping;
- image compositing;
- adding or removing a person;
- retouching;
- facial alteration;
- changing facial features;
- changing hair, eye or skin appearance;
- changing clothing;
- changing the background;
- removing the background;
- cropping or reframing;
- colour correction;
- image enhancement;
- increasing image resolution;
- reducing image distortion;
- removing marks or obstructions;
- applying artificial-intelligence modifications;
- converting an illustration into a photograph;
- converting a photograph into another visual style; or
- any other adjustment involving a Customer Image.
This restriction exists to protect the integrity of Propify’s products and to reduce the risk of fraud, impersonation, unauthorised substitution, deceptive conduct and misuse.
Propify may not make an exception to this exclusion solely because the customer purchased the Edit Pass.
Where a customer requires a Digital Product containing a different Customer Image, a separate product purchase may be required, subject to Propify’s acceptance of the order and applicable policies.
7. Design, Layout and Template Changes
The Edit Pass does not include redesign services.
A Revision Request will not be eligible where it requires Propify to:
- create a new design;
- change the fundamental appearance of the product;
- use a different template;
- change the product category;
- change the underlying structure;
- create additional pages, sides or versions;
- remove or add fixed design elements;
- recreate a discontinued product;
- reproduce another business’s or designer’s work;
- alter non-customisable branding;
- change dimensions or orientation;
- prepare a print-ready version where one was not originally included;
- convert the product into a different file type;
- provide layered, source or working files;
- create an additional variation; or
- perform work beyond the amendment of Eligible Editable Details.
Minor movement or adjustment of text required solely to accommodate an approved change may be completed at Propify’s discretion. Such adjustments do not create an entitlement to broader layout or design changes.
8. Number of Permitted Revisions
Each Edit Pass includes up to three Revision Requests for the Protected Digital Order.
Unless otherwise stated by Propify in writing, the three Revision Requests apply collectively across all eligible Digital Products contained within the Protected Digital Order. They do not apply separately to each product, field, person, page or individual detail.
A single Revision Request may contain multiple Eligible Editable Details, provided that:
- all requested changes are submitted together in the same email;
- all requested changes relate to the same Protected Digital Order;
- the requested changes are clearly identified;
- all required replacement information is supplied at the same time; and
- Propify has not commenced or completed that revision before additional changes are submitted.
Once Propify has commenced processing a Revision Request, any additional or altered instructions may be treated as a separate Revision Request.
Once a revised Digital Product has been completed and delivered, any further amendment will constitute a new Revision Request, even where the further amendment relates to information contained in an earlier request.
Unused Revision Requests have no cash value and cannot be:
- refunded;
- exchanged;
- transferred;
- assigned;
- carried over to another order; or
- converted into credit.
9. Revision Request Period
Unless otherwise stated on the relevant product page or confirmed by Propify in writing, all Revision Requests must be submitted within 180 calendar days after the original Digital Product is first delivered.
A request submitted after this period may be declined, notwithstanding that the customer has unused Revision Requests remaining.
The request period is calculated from the date on which Propify’s delivery system records the original Digital Product as having been sent or made available to the customer.
A delay by the customer in opening, downloading or reviewing the Digital Product does not extend the request period.
10. Verification of the Customer and Order
Before processing a Revision Request, Propify may require the customer to verify:
- their identity as the original purchaser;
- the relevant order number;
- the email address used during checkout;
- payment information associated with the order;
- the recipient’s details;
- authority to request changes on behalf of another person; or
- any other information reasonably required to protect the order from unauthorised access or misuse.
Propify may refuse to discuss, disclose or amend a Digital Product where the person submitting the request cannot reasonably demonstrate that they are authorised to manage the Protected Digital Order.
Verification requirements may apply even where the customer has previously contacted Propify.
11. Accuracy of Customer Instructions
The customer is solely responsible for reviewing the requested replacement information before submitting a Revision Request.
Propify will ordinarily reproduce the replacement information as supplied by the customer and is not responsible for identifying or correcting:
- spelling errors;
- incorrect dates;
- incorrect names;
- incorrect numbers;
- incorrect addresses;
- inconsistent information;
- formatting errors;
- factual inaccuracies;
- incomplete information; or
- other errors contained in the customer’s instructions.
Propify may identify and query an apparent error but is not required to do so.
Where Propify accurately applies the information submitted by the customer, any further correction will count as an additional Revision Request.
12. Consolidation of Requested Changes
Customers are responsible for reviewing the complete Digital Product and consolidating all required changes before submitting each Revision Request.
Propify is not required to accept multiple separate emails as part of one Revision Request.
Where instructions are submitted across multiple messages, Propify may:
- combine them into one Revision Request;
- request that the customer provide one final consolidated list;
- treat later instructions as an additional Revision Request; or
- suspend processing until the customer confirms the final instructions.
The customer should not submit further changes after confirming that a Revision Request is complete.
13. Processing and Turnaround Times
Propify will use reasonable efforts to process eligible Revision Requests within a reasonable period.
Turnaround times may vary depending on:
- the number of requested changes;
- the complexity of the Digital Product;
- the clarity of the instructions;
- the need for customer verification;
- the need for additional information;
- current production demand;
- staff availability;
- technical limitations; and
- circumstances outside Propify’s reasonable control.
The Edit Pass does not guarantee:
- same-day revisions;
- priority processing;
- processing within a specific number of hours or days;
- completion before a personal deadline;
- immediate customer support responses; or
- availability outside Propify’s ordinary operating periods.
Customers should allow sufficient time for their Revision Request to be assessed, processed and delivered.
14. Delivery of Revised Digital Products
Approved revisions will ordinarily be delivered electronically to the email address associated with the Protected Digital Order.
Propify may also provide the revised product through:
- a download link;
- a customer account;
- a digital-delivery platform; or
- another electronic delivery method selected by Propify.
The customer is responsible for:
- ensuring that the supplied email address remains accessible;
- monitoring their inbox;
- checking spam and junk folders;
- downloading the revised product before any link expires; and
- retaining a copy of the revised product after delivery.
Propify is not responsible under the Edit Pass for a customer’s inability to access an email account, device, application, browser, storage location or expired third-party download link.
15. Propify Production Errors
Where the original or revised Digital Product does not accurately reflect the information correctly supplied and approved by the customer, the matter may be treated as a Propify production error rather than an Edit Pass Revision Request.
A correction required solely because of a verified Propify production error will not ordinarily reduce the customer’s remaining number of Revision Requests.
This does not apply where:
- the customer originally supplied incorrect information;
- the customer approved the information before production;
- the customer changed their mind after delivery;
- the instructions were unclear or incomplete;
- the customer failed to identify an error in a proof they were asked to approve; or
- the Digital Product accurately reflects the details contained in the order.
Propify may require evidence of the information originally supplied before determining whether an issue constitutes a production error.
16. Proofs and Customer Approval
Propify may, but is not required to, provide a proof before completing a revision.
Where a proof is provided, the customer is responsible for carefully reviewing:
- all names;
- dates;
- numbers;
- wording;
- spelling;
- punctuation;
- capitalisation;
- colours;
- formatting; and
- other amended information.
Approval of a proof confirms that the customer accepts the revised information as displayed.
Any further change requested after approval may count as an additional Revision Request.
Propify is not responsible for an error that was visible in a proof and approved by the customer, except to the extent required by applicable law.
17. Technical and Production Limitations
An Eligible Editable Detail may be declined where the requested amendment cannot reasonably be completed because of:
- technical limitations;
- file corruption;
- discontinued templates;
- unavailable fonts, assets or software;
- incompatibility with the original design;
- insufficient space;
- excessive text length;
- unsupported characters or languages;
- formatting constraints;
- production-system changes;
- loss of access to the original working material; or
- another limitation outside Propify’s reasonable control.
Where the exact requested change cannot reasonably be completed, Propify may propose an alternative amendment.
The customer is not required to accept an alternative, but declining an available alternative does not create an automatic entitlement to a refund of the Edit Pass fee.
18. Prohibited and Unacceptable Revision Requests
Propify may refuse any Revision Request that it reasonably considers to be:
- unlawful;
- fraudulent;
- deceptive;
- misleading;
- abusive;
- threatening;
- defamatory;
- discriminatory;
- exploitative;
- intended to facilitate impersonation;
- intended to misrepresent a person’s identity;
- intended to conceal unlawful conduct;
- intended to infringe intellectual property rights;
- inconsistent with the intended nature of the Digital Product;
- contrary to Propify’s policies;
- likely to expose Propify or another person to legal or regulatory risk; or
- otherwise inappropriate for Propify to process.
The purchase of an Edit Pass does not require Propify to complete a change that it reasonably considers unsafe, unlawful, deceptive or inconsistent with these Terms and Conditions.
Propify is not required to disclose internal fraud-prevention, security, verification or assessment processes.
19. Fraud Prevention and Misuse
Propify may suspend, decline or terminate access to the Edit Pass where there is reasonable evidence of:
- fraud or attempted fraud;
- unauthorised access to an order;
- identity substitution;
- impersonation;
- false or misleading representations;
- altered or fabricated documents;
- misuse of a Digital Product;
- repeated attempts to obtain prohibited image changes;
- an attempt to circumvent the three-revision limit;
- use of multiple accounts or email addresses to obtain additional revisions;
- a chargeback or payment dispute concerning the Protected Digital Order;
- abusive conduct towards Propify personnel; or
- another material breach of these Terms and Conditions.
Where reasonably necessary, Propify may retain records of declined requests, submitted instructions and related communications for fraud prevention, dispute management and policy enforcement, subject to applicable privacy requirements and Propify’s Privacy Policy.
20. Customer-Supplied Content and Authority
The customer represents and warrants that they have the lawful authority to provide and request the use of all information, wording, names, details and other content submitted to Propify.
The customer must not request a revision involving information that:
- belongs to another person without authority;
- infringes another person’s privacy;
- infringes intellectual property rights;
- is false or misleading;
- is intended to facilitate unlawful conduct; or
- cannot lawfully be used for the requested purpose.
Propify may request evidence of authority before processing a revision involving information associated with another person, organisation or protected material.
21. No Transfer of Intellectual Property or Source Files
The Edit Pass provides a limited revision service only.
It does not transfer ownership of:
- Propify’s templates;
- source files;
- working files;
- layered files;
- design systems;
- graphics;
- layouts;
- production methods;
- software;
- intellectual property; or
- other proprietary materials.
The customer receives only the revised version of the Digital Product in the format ordinarily supplied by Propify.
22. Edit Pass Fee
The Edit Pass fee is charged in consideration for access to the additional revision service described in this policy.
Once the original Digital Product has been delivered, the Edit Pass fee is generally non-refundable, including where:
- no Revision Request is submitted;
- fewer than three Revision Requests are used;
- the request period expires;
- the customer no longer requires revisions;
- a requested change is outside the scope of the Edit Pass;
- a request involves a Customer Image;
- a request is declined for fraud-prevention or policy reasons;
- the customer fails to provide sufficient information;
- the customer cannot be verified; or
- the customer changes their mind.
This provision does not limit any right or remedy that cannot lawfully be excluded.
23. No Cash Value or Refund Alternative
The Edit Pass is a service entitlement and has no independent cash value after the Protected Digital Order has been delivered.
Unused revisions cannot be exchanged for:
- a refund;
- cash;
- store credit;
- another product;
- priority service;
- design services;
- image changes;
- future-order revisions; or
- revisions for another customer.
The customer is not entitled to a partial refund merely because fewer than three Revision Requests are used.
24. Relationship With Other Propify Policies
The Edit Pass operates separately from Propify’s standard:
- Digital Product policy;
- refund policy;
- replacement policy;
- privacy policy;
- website terms and conditions; and
- other product-specific terms.
An issue excluded from the Edit Pass may still be assessed separately under another applicable Propify policy.
An exclusion under this policy means that the requested change is not included within the optional Edit Pass. It does not necessarily determine whether another remedy applies under a separate Propify policy or applicable law.
25. Limitation of the Edit Pass
The Edit Pass is limited exclusively to the post-purchase revision service expressly described in this policy.
To the maximum extent permitted by law, Propify will not be liable under the Edit Pass for:
- indirect loss;
- consequential loss;
- loss of income;
- loss of profit;
- loss of opportunity;
- loss of business;
- reputational loss;
- missed deadlines;
- production delays;
- third-party printing costs;
- event expenses;
- travel expenses;
- replacement costs incurred without Propify’s approval;
- loss resulting from customer-supplied errors; or
- any amount exceeding the fee paid for the Edit Pass.
The Edit Pass does not guarantee that a revised Digital Product will be accepted by any third party or be suitable for a purpose that was not expressly agreed to by Propify.
26. Amendments to This Policy
Propify may amend this policy from time to time to reflect changes to its products, systems, operational requirements or applicable laws.
Unless otherwise required by law, a Revision Request will ordinarily be assessed under the version of this policy that applied when the Edit Pass was purchased.
Any amendment will not retrospectively remove a revision entitlement already purchased for an existing Protected Digital Order.
27. Severability
If any provision of this policy is determined to be invalid, unlawful or unenforceable, that provision will be interpreted or limited to the minimum extent necessary to make it valid and enforceable.
Where that is not possible, the affected provision will be severed from this policy.
The remaining provisions will continue in full force and effect.

To assist Propify in identifying and assessing the request efficiently, all correspondence must include the relevant order number and the email address used during checkout. Customers should also provide complete and accurate revision instructions, together with any supporting information reasonably required to process the request.
Submitting a request does not constitute automatic approval, confirmation of eligibility or acceptance by Propify that the requested changes fall within the scope of the Edit Pass.
